How long are galleries kept, and how to download or delete photos

Written by PixoShare Support

Galleries stay online for 2 years after the event ends, and you can download or delete photos any time before then.

How long are photos and videos kept?

2 years (24 months) after the event ends. Then the photos, videos and GIFs are deleted, along with the event's gallery links. Your client sees the date in their Client Gallery.

If your trial ends or you cancel your plan, the galleries stay online and the dates don't change.

Download every photo (Email ZIP)

  1. On the event's Overview tab, click Email ZIP.

  2. Type the Email Address the link should go to.

  3. If the event uses AI, choose whether to Include Original Photos. Unchecked, the ZIP has only the AI versions.

  4. Click Send Download Link.

Within a few minutes, an email arrives with a link to a ZIP of every photo, video and GIF from the event. The link works for 14 days. During a trial, the ZIP has the TRIAL-marked copies.

To download one photo, point at it on the Overview tab, click the arrow in its bottom-right corner and choose Download.

Delete photos

1. On the event's Overview tab, point at a photo, click the arrow in its bottom-right corner and choose Delete.

  • To delete several at once, check them (or click Select All for the page) and click Delete (N).

The Overview tab's photos with three checked, and the Delete (3) button marked

2. Click Delete to confirm. This can't be undone.

The photo disappears from the dashboard, the online galleries and your guests' links. A sharing station that's already open may keep showing it, especially an iPad connected to your PC. Copies guests already downloaded can't be recalled.

Delete a whole event

1. Open the event and click Archive. This frees its active-event slot and stops new uploads. The galleries stay open.
2. Click Delete, at the end of the same row of buttons (it's grayed out until the event is archived).

The event's Archive button and the grayed-out Delete button marked, with the hint Archive this event before deleting

3. Type the event's name to confirm and click Delete Event.

This permanently deletes the event's photos, videos and GIFs, its gallery links and its data, and removes its full guest phone numbers and email addresses. Every link to the event stops working, ZIP download links included. It can't be undone.

Just want the event out of your way? Archive it and don't delete. Unarchive brings it back.

How long are guest phone numbers and emails kept?

Full guest phone numbers and email addresses are kept for up to 12 months after the event ends, then removed. The delivery records stay, without the addresses. The event's Messages tab shows the date. To keep a copy, save it first from the event's Reports tab (Pro):

  • Export Shares is a spreadsheet (CSV) of each guest's phone number or email address, with the date and link they got. It's a record of what was delivered, not a list of guests who agreed to hear from you.

  • Email Report can attach the guest contacts list from your consent form: check Include Guest Contacts CSV (only guests who gave consent). The checkbox shows on events with Guest Data Collection on. If you turned that on after sharing had started, check the consent text in each row: earlier rows may only cover delivery of a photo message. See Guest contact details, consent and exports.

A guest asks you to delete their photos or details

  • Photos: delete them yourself (see "Delete photos" above).

  • Phone number or email address: email [email protected] with the event's name and the guest's number or address, and we'll remove them.

Good to know

  • Deleting a photo also deletes its AI versions. Credits already spent on them aren't returned.

  • ZIP links already sent still contain a deleted photo until the link runs out (14 days).

  • Deleted photos can stay in our backup storage for up to 30 days before they're gone for good.
