Guest contact details, consent and exports

Written by PixoShare Support

Ask guests for consent to hear from you (Pro), and find the contact details they share.

When a guest gets their photos by text or email, PixoShare keeps their phone number or email address to deliver the photos and show you whether they arrived. That's a delivery contact, not permission to send them anything else. Only guests who agree to your own consent text are consented contacts.

1. Write your consent text (Pro)

Open Templates, click Create New Template, then Disclosure Template. Give it a Template Name, then change the sample Disclosure Text to say who you are, what you'll send and how guests can opt out.

The Create New Template box, with Disclosure Template marked

2. Turn on Guest Data Collection (Pro)

  1. Edit the event and open the Advanced step.

  2. Turn on Guest Data Collection.

  3. Under Consent Form Template, pick your consent text.

Turn it on before guests start sharing. On Starter, the switch is grayed out.

3. What guests see

When a guest taps Text or Email, your consent text pops up. Yes, I agree opens the phone keypad or email form. No thanks means no text or email this time, but they can still use QR Code or AirDrop. Every guest is asked, on every tap; QR Code, AirDrop and Print never ask.

4. Get the list of guests who agreed (Pro)

  1. Open the event's Reports tab and click Email Report.

  2. Type your own email address and check Include Guest Contacts CSV (only guests who gave consent).

  3. Click Send Report. The list arrives attached, with each contact, the date and the consent text the guest accepted.

Keep only the rows that show your own consent text: if you turned Guest Data Collection on after guests had started sharing, earlier guests can appear with the standard one-time-message text. Send the list only to someone who's allowed to have it.

Export Shares, on the same tab, downloads a spreadsheet (CSV) of every share: email addresses, phone numbers and QR share codes. It includes guests who never agreed to your consent text, so it's a delivery record, not a marketing list.

5. How long contact details are kept

Full guest phone numbers and email addresses are kept for up to 12 months after the event ends, then removed; the delivery records stay without them. The Messages tab and the Email Report box show the date. To keep a copy, export it before then. Files you download are yours to look after: deleting something in PixoShare doesn't touch your copies.

6. A guest asks you to delete their details

Deleting a whole event also removes its guests' contact details.

Good to know

  • Guests who use QR Code or AirDrop don't give any contact details.

  • No consent checkbox in Email Report? It shows only when the event has Guest Data Collection on, has had text or email shares, and its contact details haven't been removed yet.
