Run through this list before you travel, at the venue and before you pack up. It's for PixoShare for Windows with an iPad on the PixoShare PC tab. No PC at the event? Use "If you upload in the dashboard" at the end.
Before you travel
Dates are right, and the event is published. Dates can't be changed after publishing (to move an event, duplicate it with the new dates). Drafts never show on the PC or iPad.
Sync on the event day. The PC lists an event only on the days it runs, so pick it and click Sync event on the day, while you have internet. Without internet, the PC can only start events it has synced.
A new, empty watch folder. Everything already in the folder when you click Start event is uploaded to this event, including last weekend's photos. See Sharing photos from your camera or editing workflow.
Sharing methods. On the event's Branding step, under Sharing Methods, keep on only the ones you want.
Printing, if you print: Booth printing is on in the Advanced step, and the printer is set up on the PC. See Printing: set up your printer, and print with more than one.
AI credits, if the event uses an AI effect: enough for the photos you expect. See How AI credits work and how to estimate what an event will cost.
Still on the free trial? Photos carry a TRIAL mark until your plan starts.
Power and network. Chargers for the PC and every iPad, and your own travel router or hotspot: the iPad and PC must share one Wi-Fi, and venue Wi-Fi often blocks that. See Wi-Fi and internet at your event: router, speed and setup.
At the venue, before guests arrive
Start the event on the PC. Pick the event, choose the watch folder, and click Start event.
Connect each iPad and plug it in, with Auto-Lock set to Never. See Set up the iPad for an event.
Check the upload speed. Click Test upload speed on the PC's event screen.
Send one real photo through. Check that it shows up on the iPad, leaves the PC's Upload queue and appears on the event's Overview tab.
Test every method you turned on with your own phone: Text, Email, QR Code and AirDrop. Open the link, try Download, then check the event's Messages tab.
Print one real photo, if printing is on, and check the cut and the colors.
Check the extras you use: the Live Gallery link, the TV slideshow or the web station.
Lock the iPad. Set an exit PIN on each iPad and turn on Guided Access. See Stuck in the sharing station? How to exit.
After the event, before you pack up
1. Leave PixoShare open on the PC until the Upload queue reads All photos uploaded. and the Sharing queue reads All shares sent.
2. Any Failed rows? Fix the cause, then click Retry failed (N).
3. AI effect on? Wait for All photos transformed. on the AI transforms card.
4. Click Stop event once both queues are clear.
5. Check the Client Gallery, then send it. On the event's Overview tab, in the Event Links card, click Open in a New Tab next to the Client Gallery Link. See Send the gallery link to your client.
If you upload in the dashboard
No PixoShare PC at the event, for example on a Mac? Check the dates, publishing, Sharing Methods and AI credits from "Before you travel" (there's nothing to sync). Then, at the venue:
Upload a test photo. On the event's Overview tab, click Upload Media. It appears once the event has started.
Open the station: an iPad on PixoShare Cloud (choose the event), or the Sharing Station Link for the Web Sharing Station. Either one needs internet the whole time. The photo shows there within about half a minute.
Test every method you turned on, then check the Messages tab. AirDrop works on the iPad app only. Printing needs the PC.
Lock the device. On the iPad app, set an exit PIN and turn on Guided Access. For the web station, follow the kiosk tips in Use a sharing station without an iPad (Web Sharing Station).
After the event, check the Client Gallery and send it.
Good to know
PC with an iPad on PixoShare Cloud, or the Web Sharing Station? Follow the main list. Guests can't print from the station. If your PC runs the event with Auto print on, the PC still prints every photo, including your test photo.
