Photos not showing up? Check these things in order

Written by PixoShare Support

Find the first place the photo is missing (the PC, the iPad, the upload or the online gallery) and start at that step.

1. The event isn't listed or isn't running on the PC

The PC lists only events that are published and whose dates include today (in the PC's time zone).

1. In the dashboard, check the event is Published and its dates cover today.
2. On the PC, click Refresh above the event list (Refresh events if the list is empty).

The PC's Select event screen, with the Refresh button and the Event list marked

3. Pick the event, click Sync event, Continue and Start event. Event running shows next to the event name.

2. The PC isn't picking up the photo

  • Right folder? Use the exact folder your booth software or camera saves into. Subfolders aren't watched: if your software saves into a new subfolder per session or per day, choose that subfolder or change its save setting.

  • Supported file? JPG, PNG, GIF, WebP, TIFF, BMP, HEIC, HEIF, MP4, MOV and WebM. Camera RAW files (such as CR3, NEF, ARW or DNG) aren't picked up, so export JPEGs into the folder instead (see Sharing photos from your camera or editing workflow).

  • A new, empty folder? Everything already in the folder when you press Start event is uploaded to that event, including photos from an earlier event. Use a separate, empty folder for each event.

3. The photo is on the PC but not on the iPad

On the PixoShare PC tab, new photos show on the iPad within a few seconds. If the iPad shows "Lost connection to [your PC] — retrying…" or Can't reach [your PC]., check that the PC and the iPad are on the same Wi-Fi and the event is still running (see iPad: connect to your PixoShare PC (and what to do when it can't find it)).

On the PixoShare Cloud tab, photos show after they've uploaded; allow up to half a minute. If uploads are stuck, go to step 4.

4. The photo is on the PC but isn't uploading

Check the PC's event screen and its Upload queue card:

  • Offline — queueing: the PC has no internet. Photos upload by themselves when it's back (see Do I need internet at my event? What works offline).

  • PixoShare can't sign in to your account. Uploads are paused. Your event keeps running and photos stay queued. Click Sign in again and pair the PC with a new code from Devices → Pair New Device in your dashboard.

The sign-in banner at the top of the PC's event screen, with the Sign in again button marked; the event is still running and 5 files are pending
  • A Failed row tells you why, for example File not found — it was moved or deleted. Fix the cause, then click the row's retry arrow, or Retry failed (N) for all of them.

The PC's Upload queue card, with two Failed rows (each with a retry arrow) and the Retry failed (2) button marked
  • Event hasn't started: uploads open on the event start date or Event ended: uploads closed 30 days after the event end date mean the event's dates don't allow uploads right now.

5. Uploaded, but someone can't see it online

Ask which page they're looking at:

  • A guest's own link (text, email or QR code) opens only the photos selected for that share. Ask the guest to select the photo at the station and send it again.

  • The Client Gallery: if the event uses AI, check Show Originals and Show AI Transforms on the Client Gallery card.

  • The Live Gallery starts off for every new event. Turn it on only if you want anyone with its link to see every photo. See Live Gallery: let guests browse the whole event.

Then:

  • Reload the page. Gallery pages don't add new photos by themselves.

  • Waiting for the AI effect? With Transformed Only, or with Show Originals off on the Client Gallery, each photo appears once its AI version is ready, and videos don't show. Check the event's AI tab for Needs Attention or Out of credits.

Good to know

  • If the watch folder disappears mid-event (an unplugged drive, for example), an amber Watch folder not found banner appears. Reconnect it and PixoShare carries on by itself, including the photos added meanwhile.

  • On a free trial, each photo appears a few seconds after upload, once its TRIAL mark has been added.
