Set up your first event

Written by PixoShare Support

Create your event, connect your PC and iPad, and send yourself a test photo. Then you're ready for guests.

What you need

  • A PixoShare account.

  • A Windows PC with 64-bit Windows 10 (version 1809 or later) or Windows 11. On a Mac, see "Good to know" at the end.

  • An iPad with iPadOS 15.1 or later.

  • Your own Wi-Fi router or hotspot.

  • A photo printer with its driver installed, if you print.

1. Create your account

On pixoshare.com, click Sign Up, fill in Complete Your Profile, check I agree to the Terms of Service and Privacy Policy and click Complete Setup. This starts a 14-day Pro trial, no card needed. During the trial, photos and videos carry a TRIAL mark.

Then click the verification link in your inbox: you can't publish until your email is verified.

2. Create and publish the event

Click Create Event, then Continue through the steps. The defaults work for a first event. Check these:

  1. Details: the Event Name (guests see it) and the Start Date and End Date, with times. Dates can't be changed after publishing, so check them now.

  2. Branding: under Sharing Methods, keep on what guests can use: Text, Email, AirDrop and QR Code.

  3. Advanced: turn on Booth printing if you print.

  4. Review: click Create & Publish Event, then Confirm Publish.

A published event uses one of your active-event slots while it's running (see Plans and prices: what's included).

3. Choose the photo folder

PixoShare for Windows shares every photo saved into one folder on your PC: the folder your booth software saves to, or one you save camera JPEGs into (see Sharing photos from your camera or editing workflow).

Use a new, empty folder for each event. When you press Start event, PixoShare also shares the files already in the folder. Subfolders aren't watched.

4. Install PixoShare for Windows and pair it

On your PC, go to pixoshare.com/download and click Download for Windows. When it opens, click Get started. Then:

1. In your dashboard, open Devices and click Pair New Device.

The Pair New Device box on the Devices page, with the button and the code marked (code hidden here)

2. Type the 6-character code on the PC and click Pair device. The code lasts 5 minutes; Generate New Code makes a new one.
3. Set your 4-digit Local sharing PIN: your iPads enter it once to connect to this PC. Click Generate or pick your own, then Continue and Go to events.

5. Start the event on the PC

1. On Select event, under Online mode, pick your event from the Event list. Click Sync event, then Continue.

Select event on the PC: the Event list with its Refresh button, and the Sync event button, marked

2. Click Select folder (or Change folder) and choose this event's empty folder.

The Select watch folder step, with the watch folder and the Change folder button marked

3. If printing is on, pick your printer (see Printing: set up your printer, and print with more than one).
4. On Ready to launch, click Start event.

The PC lists only published events running today. Event missing? Check its dates and that it's published, then click Refresh.

6. Connect the iPad

Install PixoShare - Sharing Station from the App Store and put the iPad on the same Wi-Fi as the PC (your own router or hotspot: venue Wi-Fi often blocks this). Open the app and follow the setup guide. On the PixoShare PC tab, tap your PC's name and enter its Local sharing PIN. Can't find the PC? See iPad: connect to your PixoShare PC (and what to do when it can't find it).

7. Test every way guests get photos

Take a test photo. It appears on the iPad and on the event's Overview tab. On the iPad, send it to yourself with each method you turned on: Text, Email, QR Code (scan it with your phone), AirDrop and Print.

All working? You're ready for guests. If not, see Photos not showing up? Check these things in order.

Good to know

  • On a Mac: PixoShare for Windows runs on Windows only. Once the event is published and has started, upload photos with Upload Media on the event's Overview tab, and connect the iPad with PixoShare Cloud (see Set up the iPad for an event). Printing needs PixoShare for Windows.

  • Saved a draft? Open the event and click Publish.
